Draft — professional privacy review required before launch

This privacy notice describes how SFS Airsoft UK currently intends to collect and use personal information. It will be reviewed and finalised before the service launches publicly.

1. Who we are

SFS Airsoft UK is an independent UK airsoft business based in Essex, United Kingdom.

For privacy or account enquiries, contact:

support@sfsairsoftuk.com

2. Information we may collect

Depending on how you use SFS Airsoft UK, we may collect and process information including:

  • Your name and email address.
  • Account and authentication information.
  • Your date of birth and age-verification status where required.
  • Competition entries, ticket numbers, purchases and answer attempts.
  • Eligibility and verification outcomes where required for a competition, prize or product.
  • Limited UKARA-related verification information where a lawful defence must be checked for a restricted airsoft item.
  • Shop orders, products purchased and order references.
  • Event bookings and booking references.
  • Delivery names and addresses where required to fulfil an order or deliver a prize.
  • Payment references, payment status, refunds and payment-dispute information.
  • Email and notification records relating to your account, purchases, competitions, prizes, orders or bookings.
  • Security, fraud-prevention and audit information, which may include hashed technical identifiers.

3. Payment information

Payments are processed using Stripe. SFS Airsoft UK may retain payment references and information about the status of a payment, refund or dispute so that purchases and competition entries can be reconciled.

SFS Airsoft UK does not intend to store complete payment-card details in its own application database.

4. Why we use your information

Personal information may be used to:

  • Create and operate your customer account.
  • Process competition entries and purchases.
  • Administer competitions and select, verify and contact winners.
  • Verify age, eligibility or other requirements where necessary.
  • Process shop orders and arrange delivery.
  • Process and administer event bookings.
  • Process payments, refunds and payment disputes.
  • Deliver competition prizes.
  • Send service messages about purchases, entries, prizes, orders, bookings or account activity.
  • Respond to customer-support enquiries.
  • Prevent misuse, fraud and abuse and maintain appropriate business and audit records.
  • Meet applicable legal and regulatory obligations.

5. Age and eligibility checks

Some competitions, prizes and products may require age or eligibility checks before an entry, purchase or prize can be completed.

SFS Airsoft UK aims to minimise the personal information retained during verification. Where appropriate, we intend to retain the verification outcome and limited reference information rather than unnecessary copies of identity or verification documents.

6. Restricted airsoft items

Where an airsoft item requires additional eligibility or defence verification, information may be processed for the purpose of carrying out and recording that verification.

SFS Airsoft UK will not treat a customer simply entering a UKARA reference into the website as proof that a required verification has been completed.

7. Service providers

We may use trusted service providers to operate parts of the service. Current services include Stripe for payment processing and Resend for transactional email delivery.

Hosting, database, domain and email infrastructure providers may also process limited information where necessary to provide their services.

8. Email communications

We may send transactional emails relating to your account, competitions, purchases, prize fulfilment, shop orders, event bookings and customer-support enquiries.

These operational messages are separate from any optional marketing communications that may be introduced in the future.

9. Data retention

Personal information will not be kept for longer than reasonably necessary for the purpose for which it was collected, subject to any legal, accounting, fraud-prevention, dispute-resolution and record-keeping requirements that apply.

Specific retention periods will be finalised as part of the pre-launch privacy and compliance review.

10. Data security

SFS Airsoft UK uses technical and organisational measures intended to protect customer information and restrict administrative functions to authorised access.

Passwords are not intended to be stored as readable plain text. Security-sensitive records may use hashes or limited reference information where appropriate.

11. Your information and rights

Depending on the circumstances and applicable data-protection law, you may have rights relating to your personal information, including requesting access, correction or deletion and objecting to or restricting certain processing.

Some information may need to be retained where there is an applicable legal, accounting, security, dispute or record-keeping requirement.

To make a privacy request, contact:

support@sfsairsoftuk.com

12. Changes to this policy

This policy may be updated as the SFS Airsoft UK service develops, including when new shop, event, verification or customer-account features are introduced.

The final privacy notice and related data-handling arrangements will be reviewed before public launch.
